We, Epitome Global Pte Ltd (“Epitome”, “we”, “us”, “our”), operate the Epitome Platform, an online talent profiling and assessment platform (the “Platform”).
These Terms of Use and Privacy Notice (the “Terms”) govern your access to and use of the Platform during the Epitome Catalyst assessment programme (the “Pilot”). By accessing or using the Platform, creating an account, or completing any assessment, you agree to be bound by these Terms. If you do not agree, you must immediately cease using the Platform.
1. About the Pilot
1.1. The Pilot is a time-limited evaluation of Epitome’s talent profiling tools. Its purpose is to assess the suitability of the Epitome Platform for competency profiling, team role identification, and development planning.
1.2. Participation in the Pilot is voluntary. You may choose not to participate or to withdraw at any time without consequence to your employment or standing within your organisation.
1.3. There are two categories of users during the Pilot:
- Participants: Employees or associates who complete assessments and profiling on the Platform.
- Managers: Authorised managers and administrators who access aggregated results, competency profiles, and development insights for their teams.
2. Eligibility
2.1. To use the Platform as a Participant, you must:
- be at least 18 years old;
- have the legal capacity to enter into a binding agreement;
- have been invited to participate in the Pilot by the participating organisation or Epitome; and
- comply with all applicable laws.
2.2. We may refuse registration, suspend, or terminate any account if we reasonably believe that you do not meet the eligibility criteria or have breached these Terms.
3. Account Creation and Security
3.1. To access the Platform, you must register for an account and provide accurate, current, and complete information.
3.2. You are responsible for maintaining the confidentiality of your login credentials and for all activities that occur under your account. You must:
- keep your password and credentials secure;
- not share your login details with any other person; and
- notify us immediately if you become aware of any unauthorised access to or use of your account.
3.3. You must not create an account using a false identity or on behalf of another person without their express permission.
4. Acceptable Use
4.1. The Platform is provided for the purposes of the Pilot only. You must not:

7. Data Sharing and Third-Party Processors
Epitome does not share your personal data with any third-party artificial-intelligence provider. Assessment responses are scored using deterministic, rule-based logic that runs entirely within Epitome’s own infrastructure — no candidate data is sent to external AI services.
7.1. Infrastructure Providers
| Service | Role |
|---|---|
| Amazon Web Services (AWS) | Cloud infrastructure hosting the platform, its PostgreSQL database and application services, including AWS Cognito for authentication |
7.2. Authorised Managers
Authorised managers and administrators can view:
- Participant names and email addresses

No automated data transfers occur between the Epitome Platform and any client’s internal IT systems during the Pilot. The Platform operates as a standalone web application, fully independent of client infrastructure.

8.1. The Pilot operates in a dedicated, isolated environment separate from any other Epitome client deployments.
8.2. Pilot data is logically separated and is not commingled with data from other organisations or programmes.
9. Data Retention and Deletion
9.1. Personal data will be retained only for the duration of the Pilot programme.
9.2. Upon completion of the Pilot or upon the client’s request, all personal data will be permanently deleted from the Platform, including:
- User accounts and profile information
- Assessment responses and results
- Derived scores
- Data in system backups will also be purged
9.3. Epitome may retain anonymised, aggregated platform profiles and statistics (e.g. average scores, completion rates) for platform improvement purposes. These will contain no personally identifiable information.
9.4. Deletion will be completed within 6 monthsof the Pilot end date or upon the client’s written request, whichever is earlier.
10. Data Security
10.1. All data is encrypted in transit (HTTPS/TLS) and at rest. The Platform runs on Amazon Web Services (AWS) infrastructure, which provides encryption at rest for all stored data.
10.2. Passwords are cryptographically hashed and never stored in plain text.
10.3. Access to the Platform is role-based: only authorised HR personnel and hiring managers can view participant data.
10.4. The Platform does not use advertising trackers, analytics pixels, or third-party cookies for tracking purposes.

15. Changes to These Terms
15.1. We may update these Terms from time to time. If we make material changes, we will notify participants via the Platform or by email before the changes take effect.
15.2. Your continued use of the Platform after any changes constitutes your acceptance of the updated Terms.
16. Governing Law and Disputes
16.1. Before initiating formal legal action, you agree to first attempt to resolve any dispute or claim with us informally by contacting our support team and providing a reasonable opportunity for us to address your concerns.
